This Privacy Policy explains how RotaMatch ("we", "us", or "our") handles information when you use the RotaMatch mobile app and the marketing site at rotamatch.app. RotaMatch helps shift workers plan around football fixtures, travel, TV schedules, and live scores.
In short: we aim to collect as little personal information as possible. Your home postcode stays on your device. Purchases are handled by Apple or Google. If you use Match Friend Zone, we store a display name you choose plus technical identifiers needed to run that feature. We do not sell your personal information.
1. Who we are
RotaMatch is operated as a consumer football and shift-rota planning app. For privacy questions or data requests, contact us at support@rotamatch.app.
2. Information we store on your device
Much of what you enter in RotaMatch stays on your device. This typically includes:
- Your home postcode or area (used only on-device to estimate journey times — we do not upload it to our servers as part of normal use)
- Your work rota and shift details
- Match and planning preferences
- Theme and app settings you configure locally
- A local cache of Premium entitlement status
We do not upload your full rota, shift schedule, or home postcode to our servers as part of normal app use. When travel estimates are calculated, the app may look up coordinates for your postcode via postcodes.io and routing providers from your device; those lookups are for generating estimates and are not used to build a profile about you. If you delete the app or clear local storage, that on-device data may be permanently removed from the device.
3. Information processed through our backend
RotaMatch uses Supabase as its backend (database and anonymous authentication). Through that service we may process and store:
- Football fixtures, TV channel labels, live scores, and related sports data
- An anonymous authentication session / Membership ID so the app can talk securely to our backend without requiring a password-based account
- Premium entitlement override records if we grant complimentary Premium against your Membership ID
- Match Friend Zone details described below
This session identifies your app installation for backend access. It is not a traditional name-and-email login unless we introduce one later and update this policy.
4. Purchases and Premium entitlement
If you buy or restore Premium, payment is processed by Apple App Store or Google Play. We do not receive your full payment card details.
Apple/Google may share limited purchase/entitlement information with the app so we can unlock Premium (for example product identifiers and purchase/restore status). We may also store a server-side Premium override linked to your Membership ID if we grant complimentary access.
Purchase history, invoices, and refunds are primarily controlled by Apple or Google under their privacy and billing policies.
5. Match Friend Zone
If you use Match Friend Zone (match crews), we store limited information on our servers so you can find and join crews with others. That includes:
- A device identifier
- Your anonymous auth session identifier
- The display name you choose (intended to be a first name or nickname — not a full legal name)
- Crew membership for the fixtures you join
- Your meeting or watch location preference (for example, pub, ground, or home — not your home postcode)
Do not include information in your display name that you are not comfortable sharing with other crew members. You can ask us to remove Match Friend Zone data using the contact details below.
6. Location information
If you enter a home postcode or area, it stays on your device and is used only to calculate journey-time estimates. RotaMatch does not use GPS or device location services. Your home postcode is not uploaded to our servers or sold. When travel estimates run, your device may send the postcode (or derived coordinates) to postcodes.io and routing providers solely to generate those estimates — not to build a profile about you.
7. Calendar, files, and notifications
Calendar access is used only when you choose to add events. File access is used when you import/export rota or backup files. Notification permission is used for optional digests/reminders you enable. You can revoke these permissions in system settings.
We do not currently use remote push notification providers that require storing a push token on our servers. If that changes, we will update this policy.
8. Third-party trademarks and sports content
RotaMatch is an independent application developed by Richard O'Brien. It is not affiliated with, endorsed by, or sponsored by any football club, league, competition organiser, broadcaster, or rights holder.
Team names, competition titles, crests, and logos shown in the app are used solely to display publicly available fixture, results, and TV schedule information for your personal planning. All trademarks, badges, and logos remain the property of their respective owners.
Always confirm kick-off times, tickets, and travel with official club and competition sources before you travel.
9. Third-party services / processors
RotaMatch relies on third-party services to provide core features. We do not sell your personal information. Depending on how you use the app, data may be processed by or through:
- Apple / Google — app distribution, in-app purchases, restore, and related entitlement
- Supabase — backend hosting, database, anonymous auth sessions, Premium overrides, and Match Friend Zone storage
- Football-Data.org — fixtures and standings accessed via our backend
- API-Football / API-Sports — live scores accessed via our backend
- Third-party sports schedule providers — kick-off times and TV listings refreshed on our servers
- Open-Meteo — weather information used for planning context
- postcodes.io and travel or routing services — location lookups and journey estimates where those features are used
Those providers process data under their own terms and privacy policies. We only send what is needed for the feature you are using.
10. Analytics and crash reporting
We do not currently use a third-party analytics SDK or crash-reporting product in the app. If we add analytics or crash reporting in future, we will update this Privacy Policy before (or when) that change takes effect.
11. How we use information
We use the information described above to:
- Provide fixtures, scores, TV listings, weather, and travel-related planning
- Provide and verify Premium access
- Run Match Friend Zone and related social features
- Deliver optional notifications you have enabled
- Maintain, secure, and improve the app and website
- Respond to support and data requests
12. Legal bases (EEA/UK)
Where UK or EU data protection law applies, we typically rely on: (a) performance of a contract / providing the service you request (including paid Premium features); (b) our legitimate interests in operating and securing the app; and (c) your consent where required (for example, optional notifications on some platforms).
13. International transfers
Our processors may store or process data in the UK, EEA, US, or other countries. Where required, we rely on appropriate safeguards offered by those providers (for example standard contractual clauses or equivalent mechanisms).
14. Age requirement
RotaMatch is intended for users aged 13 and over (or older if required by your local app store / law). We do not knowingly collect personal information from children under that age. If you believe a child has provided personal information, contact support@rotamatch.app and we will take reasonable steps to delete it.
15. Data retention and deletion
On-device rota, shift, and settings data remains on your device until you clear it or uninstall the app. Server-side data such as anonymous session records, Premium overrides, and Match Friend Zone details is kept only as long as needed to provide the feature, comply with law, resolve disputes, or maintain security, and may then be deleted or anonymised.
To request deletion of server-side data associated with your use of RotaMatch, email support@rotamatch.app with the subject line "Data deletion request". Please include enough detail for us to identify your account or device session (for example, your Membership ID from Settings → About, or your Match Friend Zone display name if relevant). We will respond as soon as reasonably possible.
16. Security
We use reasonable technical and organisational measures to protect information processed through our backend. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
17. Your rights
Depending on where you live (including UK GDPR / EU GDPR), you may have rights to access, correct, delete, restrict, or object to certain processing, and to data portability. Because much app data is stored on your device, you can delete a lot of it by clearing app data or uninstalling.
For backend-related requests, contact support@rotamatch.app. You may also have the right to complain to your local data protection authority (in the UK, the ICO).
18. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Continued use of RotaMatch after changes take effect means you accept the updated policy, except where consent or further notice is required by law.
